Who is responsible for your information?
A.B.S Mobile Valeting is a sole-trader business operated by Andrew Staplin (“Andy”), based in Tewkesbury and providing mobile services. Andy is the data controller for information you share directly with the business.
Contact: absvaleting@outlook.com or 07711 270106. For a postal correspondence address, please contact Andy using either of those details.
What information may be used?
When you ask for a quote or arrange a valet, you may provide your name, phone number or email address, service postcode, vehicle details, photographs, condition notes, preferred dates and messages about the service. A postcode, vehicle description, condition details and a way to reply are normally required to give a useful quote; without them Andy may be unable to price or arrange the service. Payment records may include the amount, date and bank-transfer reference, but Andy does not need your online-banking login or card details. Website security logs may contain an IP address, date and time, requested page, browser or device information and error details.
Why it is used and the lawful basis
- Quotes, bookings and service messages: to take steps you request before a contract and to perform the agreed contract.
- Payment, accounting and tax records: to meet legal obligations and administer the contract.
- Security, misuse and legal claims: A.B.S’s legitimate interests in keeping the website and business secure, preventing misuse and establishing, exercising or defending legal claims.
- Portfolio photographs: your consent, which can be withdrawn at any time without affecting earlier lawful use.
Information normally comes from you. It may also come from someone arranging a service for you or through the contact platform you use. A.B.S does not carry out profiling or make significant decisions about you solely by automated means.
The quote helper on this website
Until you press Copy, entries remain only in this open page and disappear when it is refreshed or closed. Pressing Copy writes the prepared text to your device clipboard, where your browser or operating system controls how long it remains. Opening WhatsApp shares connection information with that service. You decide whether to paste the message, attach photographs and press Send; WhatsApp then processes that communication under its own privacy terms.
Who receives it?
Andy receives enquiries sent through phone, Microsoft Outlook email, WhatsApp, Facebook or Instagram. Those providers, the website host, phone provider, bank and any accounting provider may process limited information needed to provide their services. Information may also be disclosed to professional advisers or public authorities where legally required. A.B.S does not sell personal information.
Microsoft and Meta services may process information outside the UK. Where UK data protection law requires a safeguard, the provider may rely on UK adequacy regulations or approved contractual safeguards. Ask Andy if you need more information about the safeguard relevant to your communication.
How long is it kept?
- Enquiries that do not lead to a booking: up to 12 months after the last contact.
- Booking, service and complaint records: up to six years after the service where needed for contracts or legal claims.
- Tax and accounting records: at least five years after the relevant 31 January filing deadline, or longer if the law requires.
- Portfolio photographs: until consent is withdrawn or an annual review finds they are no longer needed.
- Website access and error logs: 30 days, unless a security incident requires relevant entries to be retained longer.
Photographs used in the portfolio
Vehicle photographs are used publicly only where the vehicle owner has given permission. Registration plates and identifiable background details may be removed or obscured. You may ask Andy to stop using a photograph that relates to you.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction or transfer of your information. You may withdraw consent where consent is the basis used.
Your right to object: you may object to processing based on legitimate interests. Explain your circumstances and Andy will stop unless there are compelling lawful reasons to continue or the information is needed for legal claims.
Data-protection complaints
You can make a data-protection complaint by email, telephone, WhatsApp or post using the contact details above. Andy will acknowledge it within 30 days, investigate it, keep you updated as appropriate and provide the outcome without undue delay. You can also complain to the UK Information Commissioner’s Office at ico.org.uk.
Security and changes
Reasonable organisational and technical measures are used to protect business information. No online service is completely risk-free, so please do not send unnecessary sensitive information. This notice will be updated if the website’s tools or business practices change.
